How do I lead productive meetings?

Happy New Year! 2022 is expected to be the year with fewer meetings, but better productivity for everyone. Truth is that meetings never existed. We need more of these calls to give our customers/ employees and business partners the connection and productivity they need. in this guide you will know the keys to lead productive meetings.

Keep a decision log

An executive decision record describes key decisions made during an interview session. There should have been a written explanation if there were any future conflicts. The table may be simple or elaborately designed. Whatever the reason, all decisions should be analyzed and the contexts and reasons behind their decisions should include the decision-making process. Knowing the date of decisions and their purpose can help reassess the decision-making process. Keeping records of these decisions enables us to avoid ambiguous situations — how long have we considered the decision? How do we make our decisions? Why did they decide?

Invite the right people, and state which attendees are optional

Tell me about your needs for meetings and what attendees are essential. Meetings with no corresponding audience tend to be unproductive in many situations. An essential attendee can need a key context or help with a decision and optional participants may also have an impact on a decision that does not necessarily need to be involved in making decisions. Moreover, you should mark whether a participant is optional or critical to your event. Non-essential participants attend meetings for safety reasons and the information is usually missed or ignored. Most meetings are generally five to eight people.

Create an agenda and share it ahead of time

The correct meeting agenda may help reduce meeting times by up to 80%. Nevertheless, 63% of meeting goals aren't explicitly set out. Agenda items are critical when conducting a meeting as they help establish goals, keep everyone on track, manage time, and avoid straying from the main topic. A good rule of thumb is to have one agenda item for every 15 minutes of the meeting. You should also share the agenda with all attendees before the meeting starts so they know what to expect.

What does the research say about meeting goals?

Moreover, excessive meetings may cause illness and death.

Make sure there's a host facilitating the meeting (and someone to take notes)

It takes facilitators into place. I can't emphasize that much more. I have been to a couple of meetings where people sat on chairs and silently debated about anything until somebody took the lead. Often this person calls a meeting. He must establish a common goal, write an agenda, record the decision making, drive actions & assign ownership / timeline. In addition it's possible that an event host may enlist an employee in charge of the note-taking.

Make sure the meeting has an explicit goal

Having clear objectives guarantees the meeting of their goals in the given amount of time. And we risk not being able to take action unless we get tangible results. Those events often cause another event which was not anticipated at all. Before determining the meeting objectives, we must verify the effectiveness of a meeting.... This is a good flow chart to see if meetings need to be scheduled.

Ensure there are explicit action items with owners & timelines

It's important after productive discussions to make clear what the next steps are. These actions will be matched to a meeting goal given to one specific person – they must be completed within a specific time. If not, meetings will be unclear, and participants don't know who's responsible for what. When is it possible to have another meeting after all action items are completed?
