Moving Channels

SphereShield users have the ability to manage their channels by moving channels between teams to improve the flow of information and productivity. Users can now confidently start collaborating using channels, knowing that these can be moved as needed to address any change requirement.

There are multiple reasons why organizations need to be able to move channels. Nothing is static including the organizations themselves. With organizational change, the need may arise to limit access to specific channels or to move channels to different Teams.

With any given project, one cannot always anticipate how it will evolve. Channels may become relevant to different teams or require different access. Occasionally a channel may be set up and as the project develops it becomes clear that the channel structure is not suitable to the end goal. Many users have expressed hesitation creating channels due to the worry of causing an unused channel.

Archiving Channels

Companies adopting agile practices, working with short iterations expect to create dozens of channels per month in a Team. Projects are often short term and dynamic. When these projects have been completed the result is an overabundance of inactive channels. With a limit of two hundred channels, the channel maximum can easily be reached in a short time. Deleting channels is not always an option since organizations may need to keep records for legal reasons or as reference for future projects.

Why do so many people need to move channels in Microsoft Teams? Is there any solution for this? Why would I, an MS Teams user, need to do this? 

In this post, we will try to answer all these questions and give some more data about this often requested functionality for Microsoft Teams. You will learn everything related to how to move a channel in Microsoft Teams.

Introduction: The elephant in the (chat) room

Microsoft Teams could arguably be the most popular Unified Communications platform in the market. It’s competitors constantly try to copy and outrank the amount of features. The reasons for its success are beyond the scope of this post, but it’s clear that when a software platform becomes that popular, the demand for more advanced features starts making a lot of noise.

Microsoft Uservoice is a platform that in a smart way joins together hundreds of suggestions for improvements to the platform, the user experience and functionalities.

Some time ago we noticed that there was a post mentioning the need to move Channels between Teams. This was already within the top 5 requests. Fast forward to today and we are still counting more than 27,000 votes (which is a lot) and more than 166 pages of people commenting how badly they need this feature.

That is the elephant in the room, a request that is more than 3 years old and has reached the top of the requests for MS Teams.

How to move channels between teams, and why?

Before we get to the how, let’s dedicate a few words to explain why someone would  need to move a channel.

The underlying assumption is that usually channels stay where they are and in the worst case scenario, someone will create a new channel in another team and start things over.

The reality is far beyond that assumption. Channels sometimes contain hundreds of lines of conversations and files. There is  a wiki for knowledge and many other tabs offering a vast array of functionality and integration. It’s just not practical to tell someone to forgo that channel and start a new one.

Back to our main question – how can you move channels in Microsoft Teams?

There is good news and bad news. The bad news is that it’s still not possible to do this on the Microsoft Teams app. But there’s nothing to be desperate about! The good news is that AGAT Software has been offering for the last months a product called Channel Management that does precisely that and even more: You can move, merge, copy, archive and export channels.

Why is it so important? What are the use cases for Moving Teams Channels?

SphereShield Now Offers Archive, Move and Export for Microsoft Teams

Microsoft Teams has quickly emerged as one of the most popular tools for centralising and managing collaboration in the enterprise environment. In a world where employees are becoming increasingly mobile and dispersed, it’s tools like Microsoft Teams that allow modern employees to stay connected wherever they are, without having to worry about things like email lag or lost phone signal.

However, there’s still growth that needs to happen before Microsoft Teams can become the ultimate collaboration solution for every brand. Within the Microsoft Teams UserVoice forums, “archiving channels” was the issue with the second-highest number of votes (9k), while moving channels had the highest number of requests (10k). These issues were among the topics that are marked as ‘backlog’, which means that Microsoft hasn’t yet set a timeline for addressing them.

“Today’s users need the option to archive channels in their Microsoft Teams environment when they’re no longer using them. This stops the Teams space from becoming overly cluttered, and it also means that companies can better manage their limit of up to 200 channels per team.”

While deleting channels isn’t an option, particularly when information in the collaborative space is needed for long-term purposes, archiving presents an excellent opportunity. Unfortunately, Teams doesn’t offer a native export option to allow channels to be moved into different formats.

Archiving Channels with AGAT SphereShield

Just because businesses aren’t necessarily using all of their channels anymore, doesn’t mean that they want to get rid of that information forever. Users from a range of backgrounds have informed AGAT of their need to archive information. “Many of the projects that are handled through the channels in Microsoft Teams are dynamic and temporary in nature. Once those things have been resolved or completed, organisations may still need to keep a record of the information for legal reasons or for reference.”

Microsoft has a limit on the number of channels that can be created, which means that businesses quickly end up running out of space.

According to Yoav, as well as wanting a way to archive their channels, companies also want the option to move their channels. Organisational changes mean that needs arise to limit the people who access specific channels or to move certain channels to different teams. With any project, it’s not always easy to anticipate how an environment will evolve. Channels can become specified for specific teams or require different levels of access. Occasionally, channels might be set up and users will later discover that the structure of the channel isn’t suitable.

Yoav noted that AGAT SphereShield will give users the option to manage their channels however they see fit, by moving channels between teams and improving the flow of productivity and information. “Users will be able to confidently start collaborating with the use of channels, knowing that those channels can be moved when needed to address the changes in requirements that happen in any business.”

SphereShield will even support the organisational need that companies have to move data within a Teams channel into an unchangeable format like a PDF document. That hasn’t been possible until now within the Teams channel environment. There also hasn’t been a simple method available for copying and pasting channel content.
